IT support during events

Ved standardudstyr forstås:
If AAU standard equipment is to be used for the event, ITS is able to offer support.
Standard equipment is:
- MS Teams or AAU Zoom
- AAU PC or AAU Mac
- Polycom studio, which is an advanced webcam able to focus and follow the speaker using audio recognition
- Standard AV equipment in classrooms
- Standard AV equipment in auditoriums
- Standard AV and VC equipment in rooms with video conference systems
When ordering support please include:
- Date and location
- The period of days and time span for the event
- Expected number of online participants
- Your choice of platform (MS Teams or AAU Zoom)
IT-Support can be booked for a fee to the extent that they have ressources available to offer support during the event.
IT-Support only offer technical support and guidance in the use of technical equipment.

If an event is to be held in an assembly hall, atrium, canteen or other large areas, equipment must be ordered from an external supplier.
If you wish to use other equipment than the standard equipment offered by AAU, a quotation must be obtained from en external supplier. The external supplier must also offer support for the event.

If you plan to host an event with more than 1000 participants a quotation must be obtained from an external supplier. The external supplier must also offer support for the event.

If you plan on hosting an event with live streaming, where standard platforms such as AAU Zoom or MS Teams have their limitations, ITS offers to help you find a solution.
For a live streaming event an external company supplies equipment such as cameras, audio equipment, and computers for presentations. External technicians will also be present during the day of event.
The signal from the computer can be shown on the live stream and in the room where the event is held. The stream can be viewed on the internet via a link to a website, which the participants have been sent prior to the event.
The communication is one-way, which means that it is not possible for participants viewing the stream to participate actively. However, it is of course possible to choose to include a chat function. Furthermore, an online speaker which participates online is also an option.
The price for a live stream event can vary, since it depends on the time spent by external technicians and the number of participants. An event lasting 4 hours with 1000 participants will typically cost approximately 35-40.000 DKK ex VAT (price level for 2022).
This type of event will often require that the room is booked on the day of the event as well as the day prior to the event in order to set up equipment and run tests.

- Advice and tests within opening hours at 8.00-15.30 Monday-Thursday and Friday between 8.00-15
Payable
- Within opening hours: 400 DKK per hour per IT supporter
- Outside opening hours: 800 DKK per hour per IT supporter
- Minimum payment is 3 hours per IT support if help is needed outside opening hours
