    Encrypting files or folders (MacOS)

    If you do not have Keka installed on your computer, you can install it from Software Center. You will need Keka to encrypt folders and files. 

    1. Open the Software Center by clicking the icon in your dock.
    2. Click on Keka in Software center in the category “Software AAU Mac”  
    3. Choose install 
    4. Open Keka 
    5. Choose “7z” 
    6. Create a safe password. This can be done by going to https://passwordsgenerator.net/ 
    7. Set the Criteria as shown in the picture below. 
      Remember you must make a new password every time you encrypt a file 
    8. Copy the password and go back to Keka 
    9. Paste the password into the field “Password” and “Repeat”.
    10. Set a tag in “encrypt filenames”.
    11. Pull the file or folder from “Finder” down into the Keka-icon in your dock .
      ‚ÄčThe folder or file will now be encrypted as a 7z-file in the same folder. 
      It is important that the password is sent using a different mode of communication then email, as an example via a phone call or text message. 
    12. You can now send the created encrypted folder/file, the same way you would normally attach a file in an email. 
    13. Open Outlook – Click “new mail” 
    14. Choose “Attach file” 
    15. The encrypted folder or file is now ready to be sent

    Encrypting files or folders (Windows)

    If you not have installed 7-Zip on your computer you will have to install it from Software center to be able to encrypt folders and files. 

    1. Open software center by clicking on the windows icon in the bottom left corner. 
    2. Either Search for Software center or scroll down to AAU IT services and open by clicking on it here. 
    3. Click on applications, and click on 7-Zip. 
    4. Choose install. 
    5. Find the file that needs to be encrypted. 
    6. Right click on the folder or file. 
    7. Move the mouse to the option called 7-Zip 
    8. Choose “Føj til arkiv” / “Add to archive” 
    9. Create a secure password, This can be done by going to https://passwordsgenerator.net/ 
    10. Set the criteria as seen in the picture below.
    11. Remember to create a new password for every time you are encrypting folders and files 
    12. Copy the password, and go back to 7-Zip 
    13. Paste the password into the field “kryptering”  
    14. Set a tag in “krypter filnavne” 
    15. Click on ”OK” the file will now be encrypted. 
      It is important that the password is sent using a different mode of communication then email, as an example via a phone call or text message. 
    16. You can now send the created encrypted folder/file, the same way you would normally attach a file in an email. 
    17. Open Outlook – Click “new mail” 
    18. Choose “Attach file” 
    19. The encrypted folder or file is not ready to be sent

    Opening of encrypted files (MacOS)

    You are receiving this guide, as you have received an email that is encrypted, the guide below show you how to unpack the encrypted file. 

    1. Choose save as on the attached file, and save it on your pc or a fileshare 
    2. Click on the arrow next to the attached file, as seen in the picture below 
    3. Choose “Save as” 
    4. Save the encrypted file or folder to the place you want it. 
    5. If you do not have Keka installed you can download it for free at https://www.keka.io/en/ 
    6. Find the encrypted folder or file that needs to be opened. 
    7. Right click on the file  
    8. Put your mouse above “open with” 
    9. Choose Keka 
    10. Type in the password you have received from the sender 
    11. Click on “OK” 
    12. The folder or file will now be available in the decrypted folder
